Passenger Information – FAQs

This document is designed to provide you and your company with an overview of the reasons why the TD Travel Group request certain information and outlines the benefits of providing this information, prior to travel.

Q: What information do I need to provide?
A: The information that the TD Travel Group require from you is;

  • Given names and surname as on passport
  • Company name
  • Home address and telephone number (optional)
  • Mobile telephone number (optional but very useful)
  • Date of birth
  • Gender
  • Passport and visa information
  • Frequent flyer/reward membership numbers
  • Preferences, .i.e. non smoking, aisle seats, etc (optional)

Q: How do I provide this information?
A: By completing a Passenger Profile form available from the TD Travel Group or your travel co-ordinator.

Q: What happens to this information once it has been received by the TD Travel Group?
A: Once received the information is used to build a Passenger Profile, which is then attached to your Company's Profile, stored on our global distribution system - Sabre. For every reservation made your profile will be used as the template for the booking and all relevant data transferred into the booking.

Q: Why is this necessary?
A: Some of the information provided is vital to the reservation process. For example, a large number of people are often known by a different name than that given on their passports. If a flight reservation is made in a different name to that stated on a passport the result can be that the passenger is denied access to the flight with no compensation offered. In addition to this new international security laws, such as APIS, make the provision of passport and passenger information mandatory, in order to allow entry into some countries.

Q: What is APIS?
A: APIS stands for Advanced Passenger Information System. The governments of various countries require international airlines to collect Advance Passenger Information for passengers, prior to travel. These countries include the UK, USA, Mexico, Canada, China, India, UAE and Spain.

The information required is;

  • Passport number
  • Country passport was issued in
  • Passport expiry date
  • Given names (as they appear on passport)
  • Last name
  • Gender
  • Date of birth
  • Nationally

In order to ensure that your check-in at the airport is as smooth as possible and to avoid any additional queues, we strongly advise that this information is provided to the airline(s) for all passengers in each booking, prior to arrival at the airport. It is also important that the information is accurate so that you do not have any delay when you pass through Immigration on arrival in these countries.

By completing a Passenger Profile form such information can be forwarded by the TD Travel Group to the airlines, prior to travel.

Important update
From the 4th of October 2005 US legislation requires passengers to provide the following additional information:

  • Country of residence
  • Alien Registration Number (Green Card) for those who have US residency
  • Destination address in the US for all passengers except US Citizens or resident**

* * Please note that although a destination address can not be included on your profile, as this information will constantly vary, the TD Travel Group can still assist by providing this information to the airline, prior to travel.

Q: What other benefits are there to providing this information?
A: If visa information is provided then our consultants can check if a visa is already held or an application is required. If frequent flyer or reward membership numbers are provided these will be entered into all bookings, ensuring that points/miles are accrued, priority is given when requesting seats on a flight that is fully booked, etc.

Q: How secure is the system that is used to store this information?
A: The Sabre Global Distribution System used by the TD Travel Group employs 168 bit encryption and three levels of password protection. The only data that is fed automatically to airlines is frequent flyer membership numbers. All other information, including passport information is fed manually to established airlines only, at our discretion.

Q: Where can I get further information regarding passenger profiling?
A: You can contact the TD Travel Group or visit the websites listed below.
